Tax Treaty Renewal

Please note: In January 2024, Harvard launched Sprintax Calculus as our tax determination software for international payees (non-U.S. individuals and entities). This software replaced Glacier. Visit our Sprintax Calculus page for more information and resources.

Per IRS regulations, tax treaties must be renewed annually for employees that will continue their work for Harvard in the U.S., into the next calendar year 2024. To meet these requirements and claim a tax treaty exemption for 2024 (if previously determined eligible in 2023), you MUST complete the three steps below by Monday, December 4, 2023. The renewal process generally takes 20 minutes.

Please note: This process is only required for individuals physically working in U.S., continuing in their role into 2024. If you do not believe your work for Harvard in the U.S. will continue, then please reply to the tax treaty renewal email you received from the International Payee Tax Compliance (IPTC) Team FAD_IPTC@harvard.edu, indicating your change in work circumstances. Additionally, speak with your manager or supervisor regarding payroll processes if you will be working outside the U.S.

Step 1: Update and/or verify certain information in Sprintax Calculus, Harvard’s online tax compliance system

  • Click on the activation link that will direct you to the Spintax Calculus login page to create your permanent credentials for “President and Fellows of Harvard College”.

  • Provide Harvard with your consent to receive any 1042s tax form that may be issued to you, electronically.

  • Review your Sprintax Calculus record in its entirety for accuracy, such as ensuring your biographical, immigration data, tax and income details, country of residency, prior U.S. history, etc. are complete

Step 2: Sign and date all Sprintax Calculus tax forms generated. E-sign functionality is available but not required to use.

Step 3: Submit all signed and dated tax forms (along with copies of your required immigration documents) through the “Document Exchange” within Sprintax Calculus for review and processing.

University Closures, System Outages and Other Important Information:

  • If you do not submit all necessary and signed income tax treaty exemption forms by December 4, 2023, you may be subject to the maximum amount of tax withholding effective January 1, 2024 on Harvard's U.S. Payroll.

  • Please note we will close for Harvard’s Winter Recess starting Friday, December 22, 2023 and will reopen on Tuesday, January 2, 2024.
